How to securely send and share your tax documents

SecelyeShareTaxesFolder.pngFor those of you that have not filed your taxes yet this post is for you. So you are on a tight deadline and cannot wait to send all your files through regular mail. Your options: compile all your documents into a folder and drive them over to your Tax Rep OR you can scan all your documents to make them digital. I agree, go with the digital route.

 

How to Securely Share


Once you have all your documents in a digital form, you can add them to a new cloud folder in YouSendIt. Let’s call it “Taxes 2012”. Before you share this folder with your tax rep, you can add different layers of security.  In the web app you first need to expand ‘Actions’, then click on ‘Share’. Next, you need to type in the recipient’s email address. Then, you can click on ‘View folder content’, which gives your recipient only access to view the content, but not modify the content. Finally, you can require that the recipient to verify their identity by clicking the box on the bottom left (see image). You can now share this folder with your tax rep. Also, if you ever need to reference your tax docuements in the near future you have all your documents secured in our file hosting service.

 

How to Securely Send


If you do not feel comfortable sharing your documents through a cloud folder, you can always just send a folder (a one time transaction). You still need to put all your documents into a digital form. Then, you need to create a folder on your desktop with all of your tax documents in one folder. Using one of our many applications, like our Express App, you can securely use our file sharing feature to send the whole file in one email. All you need to do is drg and drop the folder into the Express App. Other than encryption you can add more layers of security to your sent file; such as, requesting the user verify their identity, password protect the files, or set an expiration time. The great thing about sending is you can track the files behavior. You can see when the files have been downloaded and who downloaded them.

The Yousendit.com icon on my email has totally screwed it up. nothing open the tool bar functions anymore, font size changes radically in the middle of an email and my attempts to get yousendit.com to help me get rid of the icon have been TOTALLY **bleep**ED.
